Choose how questions reach the room
A roving microphone lets people ask from their seats, but the room needs usable aisles and a runner who can reach them. A fixed question point can make the process clearer, but people must be able to reach and use it. Consider accessibility and offer an alternative way to submit a question where needed.
Tell the moderator which method is being used. They can identify the next questioner and ask them to wait for the microphone. Otherwise the audience hears an answer to a question it never heard.
Include the microphone in the technical plan
The Q&A channel should be checked with the presenter channels and any existing venue systems. Agree how the operator knows when it is in position and ready. Keep the movement route in mind when reviewing loudspeaker coverage and feedback risk.
An overhead microphone is not an automatic replacement for a roving mic in a room PA. It may collect considerable room sound and have different uses for a remote or recording feed. Discuss the intended output instead of assuming one microphone arrangement covers every audience.
Remember remote listeners and recordings
If the event is streamed, recorded or includes remote participants, audience questions need to reach those outputs too. The presenter hearing a question acoustically does not mean the remote guest hears it. Check the complete question-and-answer exchange during rehearsal.
For an event without audience microphones, a moderator can repeat each question into their own microphone before the answer. Make that an agreed fallback, not an improvised habit that depends on every speaker remembering it.
