Count simultaneous channels
A school cast of thirty does not automatically require thirty radio channels, while a panel of six may genuinely need six people available at once. Use the running order or scene plot to identify peak simultaneous use. Include spare arrangements and any handovers that are too quick to carry out reliably.
Do not overlook other uses: presenters in a second room, the venue’s own systems or another supplier’s equipment. A microphone muted at the mixing desk may still have its radio transmitter switched on, so the coordination plan needs the actual radio use, not only the channels heard by the audience.
Send the exact systems, not just a quantity
Different systems can operate across different bands and tuning ranges. Ask each supplier for the details needed by the person coordinating the event. Manufacturer channel-count claims apply under specified conditions and are not a promise that the same number will work at your venue.
Professional coordination can use equipment data and local spectrum information to identify compatible settings. That is distinct from randomly selecting different frequency numbers. Licensing or exemption conditions also need to be checked for the chosen arrangement.
Plan how changes are handled
Agree who controls the configuration, labels the systems and checks them before the programme. A late extra microphone needs to be considered within the whole setup. Switching on an unplanned system because it worked last week can disrupt an otherwise coordinated event.
Keep the channel plot, performer assignments and system labels consistent. Where the programme changes, update both the technical plan and the people managing microphones backstage or in the room.
